Booking Terms

What you are agreeing to when you book a trip with us: deposits, balance payments, cancellations, and what happens when plans change.

1. Who you are contracting with

Your booking is a contract between you and [TO CONFIRM: 4x4 Epic Tours (Pty) Ltd], trading as 4x4 Epic Tours, of [TO CONFIRM: registered address, Cape Town, South Africa]. You can reach us at hello@4x4epictours.com or +27 21 000 0000.

These terms apply to every booking. Please read them before you pay a deposit, because paying one means you accept them.

2. Reserving a place

Submitting the booking form reserves a booking reference and holds your seats while you pay. It costs nothing, and it is not yet a confirmed booking.

Your place is confirmed once we have received your deposit. Until then the seats can be released, so a reference on its own does not guarantee a place on a departure.

3. Deposit and balance

  • A deposit of 30% of the trip price confirms your booking.
  • You have 72 hours from booking to pay it. If we have not received it by then the reservation lapses and the seats are released. You are welcome to book again if the departure still has space.
  • The balance is due 60 days before departure. We will remind you.
  • Pay by card or instant EFT through PayFast, or by ordinary bank transfer. Card details are entered on PayFast’s own secure pages and never reach this website.
  • Prices are per person and include everything listed under “What’s included” on the trip page. Anything not listed there is excluded.

4. If you cancel

Cancel more than 60 days before departure and your deposit is refunded in full. Between 30 and 60 days, 50% of what you have paid is refunded. Inside 30 days of departure there is no refund.

Send cancellations in writing to hello@4x4epictours.com. The date we receive your email is the date we use.

Refunds go back to the original payment method. A card payment is refunded to the same card, which is a card scheme rule rather than ours.

5. If we cancel or change a trip

These are remote routes across several countries. Weather, road and border conditions, vehicle availability and safety can force a change of route or date at short notice. Where that happens we will tell you as soon as we know and do our best to keep the trip you booked intact. The guides’ judgement on safety is final, and is not on its own a reason for a refund.

6. Insurance

Whatever the requirement, get cover that includes medical treatment and evacuation, trip cancellation, and your belongings. Some of these routes are a long way from a hospital, and evacuation is expensive.

7. Driving and vehicles

On self-drive trips your vehicle is your responsibility: its condition, its insurance, and any damage, fines or costs it incurs. On guided trips in our vehicles our own terms of use and insurance apply, and we will go through them before departure.

8. What we need from you

  • Valid passports, visas and permits for every country on the route. These are yours to arrange, and we cannot refund a trip you cannot join because your documents were not in order.
  • Tell us before departure about any medical condition, allergy or dietary requirement that affects your safety or what we need to carry.
  • Follow the guides on safety, route and conduct. We may ask a guest to leave a trip, without refund, if their behaviour puts other people at risk.

9. Liability

Off-road travel in remote country carries risk that cannot be removed. We take reasonable care planning and running our trips, and nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else South African law does not allow us to limit.

Beyond that, our liability for any claim is limited to what you paid us for the trip. We are not liable for indirect losses such as a missed connecting flight or time off work.

None of this affects your rights under the Consumer Protection Act 68 of 2008. Where these terms and that Act disagree, the Act wins.

10. Complaints

Tell your guide first, while there is still a chance to put it right. If that does not resolve it, email hello@4x4epictours.com within 28 days of getting home and we will look into it.

11. Privacy

What we do with your personal information, who we share it with, and the rights you have over it are in our Privacy Policy.

12. Governing law

South African law governs these terms, and the South African courts have jurisdiction over any dispute.
